Position Summary
The Office Manager oversees daily administrative operations to ensure smooth, efficient, and compliant functioning of the agency. This role supports clinical and administrative staff, manages scheduling and communication workflows, maintains accurate records, and ensures all office processes align with state, federal, and payer requirements. The Office Manager serves as the central point of coordination for patients, caregivers, referral sources, and internal teams.
Key Responsibilities
Manage day‑to‑day office operations, including phones, email communication, scheduling, and documentation flow.
Coordinate patient scheduling, staff assignments, and visit verification to ensure timely service delivery.
Oversee intake processes, including referral management, insurance verification, and authorization tracking.
Maintain accurate patient records, ensuring compliance with Medicaid, Medicare, and agency policies.
Support clinical staff with documentation, orders, care plans, and communication with providers.
Monitor deadlines for OASIS submissions, recertifications, orders, and compliance tasks.
Assist with onboarding new employees, maintaining HR files, and ensuring credentialing requirements are met.
Prepare reports, track productivity, and support billing processes as needed.
Maintain a professional, organized, and welcoming office environment.
Serve as a liaison between the agency, families, caregivers, and external partners.
Qualifications
High school diploma required; associate or bachelor’s degree preferred.
Minimum 2 years of administrative or office management experience (healthcare preferred).
Strong organizational and multitasking skills with attention to detail.
Excellent communication and customer service abilities.
Proficiency with computers, EMR systems, and Microsoft Office.
Ability to work independently, prioritize tasks, and support a fast‑paced environment.
Knowledge of home health operations, Medicaid/Medicare guidelines, or CareSource processes is a plus.
